Privacy Policy

This policy explains what personal data LiveYou collects, why we collect it, who we share it with, how long we keep it, and the rights you have over it. It applies to liveyou.ai, the LiveYou application, and the integrations that support them.

1Overview

LiveYou is an AI business platform operated by MacSoft LLC. In this policy, "LiveYou", "we" and "us" mean MacSoft LLC, and "you" means the person or organisation using the service.

This policy does not cover the third party services you choose to connect to LiveYou, such as social platforms, advertising accounts or calendars. Those services process your data under their own terms and privacy policies.

2Who is responsible for your data

MacSoft LLC is the controller of the account, billing and usage data described below. For the business content you place inside your workspace, including any personal data about your own customers and contacts, you remain the controller and LiveYou acts as a processor on your documented instructions.

3Data we collect

Account data
Your name, email address, a hash of your password, language and theme preferences, and the sign in method you use, whether email and password or Google Sign In.
Workspace content
The business profile you create, plans, tasks, documents, knowledge you upload, brand assets, employee configurations and any other content you or your team members add.
Contact and customer data
Contacts, leads, appointments and conversation records that you import into LiveYou or that reach you through the channels you connect.
Communications
Messages exchanged with LiveYou, voice call recordings and transcripts where you enable a voice channel, and any correspondence you send to support.
Connected account data
Access tokens, account identifiers and the content or metrics we retrieve from the services you connect, limited to the features you turn on.
Billing data
Plan, subscription status, invoices, credit balance and usage records. Card details are entered directly with our payment processor and are never stored on our servers.
Technical data
IP address, device and browser type, timestamps, pages viewed, feature usage, and diagnostic logs generated when you use the service.

We do not ask for special categories of personal data, such as health or biometric data. Please do not place them in your workspace unless you have a lawful basis for doing so.

4How we use data, and on what basis

To provide the service
Creating and running your workspace, executing tasks, producing deliverables, and keeping your work available across sessions and devices. Basis: performance of our contract with you.
To operate AI features
Sending the part of your content that a request needs to the model providers listed below, and returning the result. Basis: performance of our contract with you.
To take actions you authorise
Publishing content, sending messages, booking appointments and running campaigns on the accounts you connect. Basis: performance of our contract with you, and your consent where the action requires it.
To handle payments
Managing subscriptions, credits, invoices and refunds. Basis: performance of our contract with you, and compliance with accounting obligations.
To keep the service secure
Detecting abuse and fraud, enforcing usage limits, investigating incidents and protecting accounts. Basis: our legitimate interest in a safe service.
To improve quality
Measuring reliability and feature usage, diagnosing faults, and reviewing failed runs so they can be fixed. Basis: our legitimate interest in a service that works.
To communicate with you
Service notices, security alerts, billing messages, and product news where you have asked for it. Basis: performance of our contract, our legitimate interest, or your consent for marketing.

We do not sell personal data, and we do not use your workspace content to target advertising at you or at anyone else.

5AI processing

To answer a request, LiveYou sends the relevant part of your content to the model providers that power the feature you are using. Providers act on our behalf, process the content only to return a result, and are bound by contract to keep it confidential. Where a provider offers a business tier that excludes submitted content from training its models, we use that tier.

Output is generated automatically and can be inaccurate or incomplete. Actions that reach the outside world, such as publishing, sending a message or spending money, require your approval unless you have turned on automation for that specific action. LiveYou does not make decisions producing legal effects about you by automated means alone.

We retain traces of AI runs, including prompts, outputs, cost and duration, so that a result can be audited, a failure can be diagnosed and a charge can be explained.

6Sharing and subprocessors

We share personal data with the members of your own workspace, with the service providers listed below, with professional advisers under a duty of confidentiality, with authorities where the law requires it, and with a successor entity in a merger or acquisition, in which case this policy continues to apply.

Model providers
OpenAI, DeepSeek and Google, for text generation, image generation and image understanding.
Voice providers
ElevenLabs, Cartesia, Vapi and Gladia, for speech synthesis, telephony and transcription in the voice features you enable.
Media generation
Higgsfield, OpenAI and Google, for generated images and video.
Research and public data
Tavily and Apify, for web research and for retrieving publicly available page and profile data on your instruction.
Publishing
A social publishing provider, for publishing to the accounts you connect and for reading back the resulting metrics.
Advertising
An advertising platform provider, for creating and managing the campaigns you approve.
Payments
Stripe, for checkout, subscriptions and invoices.
Hosting and storage
Contabo for application servers and databases, Cloudflare R2 for media storage, and Vercel for the web front end.
Diagnostics
Langfuse and LangSmith, for traces and quality metrics of AI runs.

Each provider receives only the data its function requires, under a written agreement that limits processing to the purpose we specify. We keep this list current and will update it when a provider is added or removed. Write to info@liveyou.ai for the named list of the providers behind our publishing and advertising features.

7International transfers

Some of the providers above operate outside your country. Where personal data is transferred across a border, we rely on the transfer mechanisms available under the applicable law, including standard contractual clauses and the transfer conditions of the Personal Data Protection Law, together with the technical and organisational measures described below.

8How long we keep data

  • Account and workspace data: for as long as your account is active.
  • After you close your account: deleted or irreversibly anonymised within 90 days, except where the law requires a longer period.
  • Billing and tax records: for the statutory retention period that applies to us.
  • Backups: a rolling window of 14 days, after which a deleted record is no longer recoverable.
  • Diagnostic logs and AI run traces: up to 12 months.
  • Voice recordings and transcripts: for the period configured in your workspace, and immediately on request.

9Security

We encrypt data in transit, hold credentials and connected account tokens in an encrypted store with restricted access, separate each workspace so one tenant cannot read another, grant staff access on a least privilege basis, record significant actions in an audit log, and take daily backups.

No service can promise perfect security. If a personal data breach affects you, we will notify you and the competent authority within the deadlines set by the applicable law.

10Your rights

Subject to the conditions of the law that applies to you, you may request access to your personal data, correction of inaccurate data, deletion, a copy in a portable format, restriction of processing, and objection to processing based on our legitimate interests. Where processing rests on consent, you may withdraw it at any time without affecting what was done before.

Write to info@liveyou.ai to exercise a right. We respond within 30 days and may ask for information to verify your identity. Where a request concerns content inside a workspace that another party controls, we forward it to that party and assist them in answering it. You also have the right to complain to your competent data protection authority.

11Outreach to your own contacts

If you use LiveYou to contact your customers or leads, you are responsible for having a lawful basis for that contact, for identifying yourself correctly, and for honouring opt outs. Do not upload a contact list you have no right to use.

LiveYou records consent and opt out status for each contact, blocks further sending to a contact who has opted out, and keeps a record of what was sent so that a complaint can be answered.

12Google user data

When you connect a Google account to LiveYou, we request one Gmail permission and no other: permission to send mail on your behalf. We do not request, and therefore cannot obtain, permission to read, search, download, modify or delete anything in your mailbox. Replies from your customers reach LiveYou only if you choose to forward them to us.

Sending only. It lets LiveYou deliver a message you have approved through your own Gmail account, so it arrives from your address and lands in your Sent folder. This permission grants no ability to read, list or search your mail, and Google enforces that limit, not us.
openid and email
Your email address and the fact that Google has verified it, used only to create your LiveYou account or to sign you in to the account that already holds that address.

We use that permission for a single purpose: to send the messages you or your workspace ask us to send, from your own address, so that your customers receive them from you rather than from us. We store the credential Google issues in encrypted form on our own servers, we never store the contents of your mailbox, and we never use Google user data to train any model, our own or a provider's.

What we keep from Google is the refresh credential itself, encrypted at rest with a key held only on our server, and a record of each message sent through the connection: recipient, subject, time and outcome. We keep no mailbox content because we can obtain none. The credential is deleted when you disconnect the account or close your LiveYou account. The send records follow the retention rules in this policy, because they are the evidence that answers a complaint or a spam report about a message sent in your name.

Concretely, and for as long as we hold data received through Google APIs: we use it only to provide and improve the sending feature you turned on, we transfer it to no one except where it is necessary to deliver that feature, to comply with the law, or to protect against a security threat, we never use it for advertising of any kind, and no human at LiveYou reads it unless you have given explicit consent, or it is necessary for security, or the law compels it.

LiveYou's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

You can withdraw this permission at any time, either by disconnecting the account inside LiveYou or at myaccount.google.com/permissions, where Google lists every application you have connected. Withdrawal stops all sending immediately. It does not recall messages that were already sent, and it does not delete the record we keep of what was sent, which we retain so that a complaint can be answered.

13Cookies and local storage

We use strictly necessary cookies and browser storage to keep you signed in and to remember preferences such as language and theme. We do not use advertising cookies and we do not track you across other websites. You can clear this storage in your browser at any time, but the application cannot keep you signed in without it.

14Children

The service is intended for business use by adults and is not directed to anyone under 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, write to info@liveyou.ai and we will delete it.

15Changes to this policy

We may update this policy as the service changes. The revised version is published on this page with a new date. For a material change, we give notice by email or in the application at least 14 days before it takes effect.
